With the implementation of JustWare | Prosecutor, the Vermilion County State Attorney’s Office has met their primary case management goals: a central solution, quick and easy access to case data, automated document generation and tremendous improvement in workflow!

Challenge

The Vermilion County State Attorney’s Office went live with JustWare on December 12, 2005. They have 21 users in their office. Prior to implementing JustWare | Prosecutor, the Vermilion County State Attorney’s Office didn’t have a case management system. They used the merge function in Word to create documents and used Access and Excel to generate reports. They realized they needed to make some changes to improve their office workflow and started looking for a long term solution that would accommodate their current needs as well as their continued growth.

The Vermilion County State Attorney’s Office's goals for a case management system were:

• Central solution - The Vermilion County State Attorney’s Office is a multi-division agency with several departments. They wanted a central system that would facilitate secure information exchanges for their multi-division agency.
  
• Quick access to case information and improved workflow – Prior to implementing JustWare, attorneys and staff had to take the time to pull hard copy files every time they needed case information.
  
• Automated document generation – Because they were using a merge function to generate legal documents, users had to enter information for every document they created. Data entry took too long, there were many data entry errors, and their legal documents weren’t uniform. According to the office manger, Sue Woods, their old process left “lots of room for creative looking documents depending on the user.”

Result

• Central solution - JustWare is a central system that allows any authorized user from any workstation to complete any task and generate any document they need. JustWare’s detailed security tracks division affiliations and users so they can confidently and securely work with other divisions in their organization. Woods appreciates the ease and security of a JustWare central solution at the Vermilion County State Attorney’s Office. She said “Anyone from any desk can get work done even for a different division.”
  
• Quick access to case information and improved workflow – Since a name search in JustWare automatically generates a list of all associated case involvements, staff at the Vermilion County State Attorney’s office is able to more quickly find case information and more efficiently handle phone calls and other requests for information. Woods said “Workflow is faster and phone calls are more easily handled since we can look up names and find case involvements.” Woods also reported that their Victim Witness Office uses JustWare to store contact information so that they can quickly and easily retrieve contact information when they need it.
  
• Automated document generation – with JustWare, document generation at the Vermilion County State Attorney’s Office is faster, easier and more accurate. Woods reported decreased data entry error with JustWare. She said “Documents are a snap to generate, and I like the fact that the font and wording are the same on all documents—everything is uniform as it should be when it comes from this office."
