The Calaveras County Probation Department uses JustWare | Probation & Parole to help them in their mission “to helping create and sustain a safe and healthy community through a balanced system of offender management,” and to achieve their three goals; “repair the harm crime has caused to victims; hold offenders accountable for their actions; [and] create an environment where offenders develop positive social competencies.”
Challenge
The Calaveras County Probation Department, under the direction of Chief Probation Officer Mike Kriletich, began looking for an automated case management solution in March of 2006. They had never had an automated CMS before, so they evaluated several programs.
They were looking for a single solution that could integrate case and financial management because the Probation Office process a lot of payments and handles a lot of funds. They wanted to save time by avoiding duplicate data entry into two different systems and also by automating many of their processes in both financial and case management workflows.
Calaveras County Probation Department selected JustWare | Probation & Parole in September of 2006.
Solution
The Probation Department went live with JustWare on January 13. 2007, a mere four months after they officially selected the product.
JustWare met the Department’s needs by integrating financial and case management and accommodating extensive statistical reporting.
All up-to-date JustWare name information is available for reference in the billing department, so the billing department always has the current addresses and contact information from the case management system without having to complete any data entry. Calaveras County uses JustWare’s financial features to enter fines and fees, automatically create statements, and accept payments when people come in.
The Probation Department is tracking many statistics using customized reports on JustWare data. They are constantly writing more and more reports to retrieve more information automatically. For example, a simple report complies all the hours that probation aids work, and another report is used to match dates with bills.
Result
Calaveras County Probation Department is satisfied with the way that JustWare has revolutionized their workflow to make their office more productive and efficient.
“Our revenue is up because of JustWare,” says Elizabeth Hunger, from the billing department. “It used to take me all day to do a deposit. Now I can do a deposit in thirty minutes to an hour.”
JustWare also maintains a highly trained Support Department that continues to help the Probation Department with their ongoing needs. Says Hunger, “Support was great during implementation and great ongoing.” She particularly likes how the Support Specialists will walk her through fixes so that she learns more about how to use JustWare.
JustWare has also made a lot of information universally available throughout the office. Hunger says, “It makes it easier because everybody can look things up on their own. They’re not always asking me to look up financials for them... [and they don’t] have to ask other people for information."
Ongoing Goals
Calaveras County Probation Department plans to continue to develop more and more reports to collect all of the statistics that JustWare tracks. These reports will help them better understand the inner-workings of their Department, which will, in turn, help them continue to finesse office procedures and improve productivity.
